When Does Google Workspace Make Sense?
Google Workspace is ideal when your company has fewer than 50 employees, you don't want to worry about server maintenance, you need your teams to collaborate from any device, and you value the integration with Google Meet and Drive.
When Does Self-Hosted Email Make Sense?
A self-hosted server is the right choice if you handle highly confidential information that can't be stored on third-party servers, if you already have your own server infrastructure, if you have more than 100 users and per-license costs become prohibitive, or if you need integration with internal systems like ERP or CRM.
How to Decide Without Comparing Apples and Oranges
There is no single answer: it depends on what your team uses every day.
- If you already use Google Workspace or Microsoft 365, first review what you need to keep: shared documents, video calls, calendars, integrations. If your team works inside that suite, changing only the email doesn't replace it, and it makes no sense to move a whole suite to a service that doesn't cover that work.
- If what you need is email on your own domain, compare the same number of accounts, the storage, the renewal price, and who supports you. If your current provider covers what you need, there's no reason to switch just for the sake of it.
